Job Summary & Responsibilities:

Manages administrative support staff within our Investment Banking group in our New York and east coast offices, including, but not limited to recruiting, training and developing, managing performance and staffing/coverage.  In addition to management of staff, provides general administrative support to a senior banker in the New York office.  The role often involves relieving supported individuals of administrative responsibilities in order to enable greater productivity and efficiency.  Represents the firm in a professional manner in all communications.    

Exercises independent judgement and works under limited guidance due to previous experience/breadth and depth of knowledge of administrative processes. Work is guided by standard policies/practices however, exercises discretion and independent judgment. Capable of analyzing information requests and determining trends and making informed decisions.  Proactively identifies solutions to create greater efficiencies.  Provides oversight and guidance to staff. Responsibilities may include but are not limited to:

• Day-to-Day Oversight – Reviews time and attendance sheets, monitors overtime expenses, approves vacation and sick/personal time.  Monitors capacity and ensures appropriate staffing levels. Establishes guidelines and expectations of core team. 

• Manages Performance – Manages team performance and identifies training and development opportunities. Ensures team members are held accountable and take ownership of responsibilities.

• Executive Level Support – Arranges complex travel itineraries and submits expense reports; proactively manages calendars by anticipating needs, adjusting for conflicts, and managing all logistics; provides office support to include answering phones, greeting and interacting with clients, taking meeting minutes, creating documents, etc.  

• Projects and Processes – Participates in other projects that require the application of independent judgment/interpretation of policies/practices. Acts as a resource and trains new and/or more junior administrative team members.  Consistently demonstrates resourcefulness in the completion of multiple projects. Independently works on complex or high impact assignments which require the regular use of creativity and understanding of operational impact. Troubleshoots complex service/support problems for all levels of staff/management. 


• College (Bachelor’s) Bachelor's degree required.
• At least five years of experience in an office/administrative management or operations role within the professional services industry.
• Previous experience managing employees is required.
• Investment Banking industry background preferred.
• People supervisory skills.
