Job Summary & Responsibilities:

Provide direct executive administrative coordination and administrative support to a department and/or group of professionals.  The job often involves relieving individuals supported of administrative responsibilities in order to enable greater productivity and efficiency.  This allows the individuals supported to focus on their primary responsibilities.  Represents the firm in a professional manner in all communications.    

Works under limited guidance due to previous experience/breadth and depth of knowledge of administrative processes and company knowledge. Work is guided by standard policies/practices however, exercises discretion and independent judgment and is capable of analyzing information requests and determining trends. Proactively identifies systems and processes to create greater efficiencies.  

  • Travel & Expense – Arranging complex travel itineraries and submitting expense reports in a timely manner.
  • Calendar & Meeting Coordination – Proactively manages calendars by anticipating needs, adjusting for conflicts, and ensuring all logistics (including materials, location, timing, etc.).  Requires the ability to employ effective reasoning skills.
  • Info and Data – Updating and maintaining contact databases. May include compiling and analyzing information for inclusion in reports or presentation materials including preparing reports, charts, graphs, or tables as necessary. Demonstrates the ability to utilize software applications for maximum effect and efficiency.
  • Office Support – Provide office support to include answering phones, greeting and interacting with clients, distributing mail, maintaining electronic and hardcopy filing, taking meeting minutes, creating documents, etc. May include processing invoices.
  • Projects & Processes – Participating in other projects that may require the application of independent judgment/interpretation of policies/practices. Acts as a resource and trains new and/or more junior administrative team members. 


  • High school education required; Bachelor's degree a plus
  • Expertise with Microsoft Word, Excel, PowerPoint and Outlook
  • Five plus years working in an office environment
  • Excellent verbal and written communication skills necessary
  • A demonstrated ability to work independently and in a team setting is required
  • A strong work ethic evidenced by initiative and persistence is necessary
  • Strong organizational skills and attention to detail are required
