Job Summary & Responsibilities:

The Recruiting Coordinator will be responsible for managing the overall candidate experience by scheduling phone and onsite interviews and responding to any questions candidates may have in order to provide a “best in class” experience for candidates.  Additional responsibilities include operational oversight of the applicant tracking system, background check system, job boards, and as well as conducting future prospect candidate data mapping.  Responsibilities include:

  • Create requisitions within the ATS and move candidates through the workflow process
  • Log all employee referral candidates for appropriate follow-up by recruiter
  • Post and remove job openings on the designated website/job board/career services sites
  • Aggregate candidates from postings and/or prospect lists and filter based upon requisition criteria.  Forward appropriate candidates for review to the recruiter
  • Maintain interviewer listing and schedule selected candidates accordingly, including interview packet preparation
  • Greet candidates upon arrival
  • Order any catering and coordinate travel for candidates
  • Process candidate reimbursements
  • Schedule candidate feedback sessions and participate in feedback session 
  • Provide appropriate notifications to candidates regarding status
  • Relay any necessary next steps/final candidate feedback to third party staffing firms
  • Prepare all offer letters for review and send offer letters via ATS
  • Process all background checks and compliance related questionnaires
  • Work with HR team and business departments to onboard all candidates 
  • Maintain job board site/University Career Services master login information 
  • Stay current with industry best practices regarding candidate sourcing and new job boards for effective recruitment by attending webinars, and networking events
  • Other projects as assigned


  • Bachelor's degree or equivalent work experience
  • 1 to 3 years of experience in a corporate HR environment.  Industry experience within Professional Services or Financial Services is preferred
  • Experience with applicant tracking systems and databases preferred. Experience with Avature a plus.
  • Strong software skills specifically utilizing Microsoft Word, Excel, and Outlook.  Experience with PowerPoint a plus
  • Strong ability to handle confidential information with discretion and maturity
  • Possess a proactive approach to accomplishing work, executes consistent follow-up, and demonstrates the flexibility to meet changing business needs
  • Strong organizational skills, detail-oriented, and ability to prioritize workload independently; strong problem-solving skills
  • Excellent written and verbal communication skills
